How do my invoices get into PayPilot?
Three ways: a CSV upload, a Xero or QuickBooks connection on Pro, or the built-in fictional set. The CSV takes invoice number, client, amount and due date, imports up to 500 rows, and tells you which rows failed and why. The fictional set touches nothing real.
When does anything reach a real client?
Only after two switches. Every workspace starts in test mode, and each client must be approved for live messages by name. Until both are on, reminders are drafted and recorded but nothing is sent.
Does every message wait for my approval?
By default, yes. Drafts sit in one approval queue with the rules check shown next to them. For clients you have approved, you can optionally let pre-date reminders send without asking (Pro).
What does my client actually see?
A secure link, no account needed: the business name, the invoice number, the amount and a way to pay, pick a date, ask to split it, or flag a problem. Every email states plainly that it was sent by PayPilot on behalf of your business, and carries a one-click stop link.
What does it cost?
The free plan covers 5 live open invoices with the whole workflow, and unlimited fictional ones. Pro lifts the limits and adds accounting sync, inbox reading, instalment plans and dossier downloads. Current prices are always on the pricing page.
